Chaperone · Compliance, managed and verified

Chaperone keeps everything compliance in order.

Chaperone is the compliance system from Mitochondria. It manages your compliance documents, reads them, checks each one against the rules and standards that apply, and flags what does not hold, with a person confirming every call. It keeps regulated operations audit-ready, so external audits come round less often and cost less when they do.

Why Chaperone

In a cell, a chaperone is a protein with one job: it helps other proteins fold into their correct shape, and stops them clumping into something harmful. It is the cell's own quality control, making sure each piece comes out right. Chaperone does the same for your compliance. It makes sure every document is in the right shape against the rule, catches the ones that are not, and keeps the whole picture sound. Everything compliance, in one system.

Compliance is manual, and the gaps surface at the worst time.

A regulated operation carries hundreds of compliance documents across departments, each with its own rule, renewal, and version. Keeping them right is manual work, the rules move underneath you, and the errors that matter slip in where a final document is edited by hand. They stay invisible until an external audit finds them, and by then they carry cost, lost time, and exposure.

The documents pile up.
Hundreds of records across departments, each with a rule to meet, a date to renew, and a version to keep straight. Done by hand, it does not scale.
The rules keep moving.
Standards and regulations change, and a document that held last quarter may not hold now. Catching the change is itself manual work.
Errors enter at the edit.
The mistakes that cost you slip in where a final document is adjusted by hand, the one place nobody thinks to re-check.
Audits are the reckoning.
Until an external audit arrives, a gap stays invisible. By the time it is found, it carries cost, time, and risk.

Most of this is not a knowledge problem. The rules are known and the documents exist. It is a checking problem, and checking by hand does not hold at scale. Chaperone is the layer that does the checking.

It works the way a careful auditor would.

Chaperone reads each document, identifies the rule or standard it has to meet, and checks the two against each other. Where they agree it passes; where they do not it flags the gap, in plain language, for a person to confirm or correct. Every confirmation teaches it the house judgement, so the calls it brings you narrow over time to the ones that genuinely need a person.

Audit-ready, the whole time.

The manual checking that fills a compliance week comes off the desk, and readiness stops depending on a scramble before each visit. What that is worth depends on where you sit.

You run compliance
The checking comes off your desk.
Chaperone reads the documents, runs them against the rule, and brings you only what needs a decision. You move from chasing paper to confirming judgement.
You run operations
Readiness you can rely on.
External audits come round less often and weigh less when they do. The saving is real, and it is yours to measure against your own audit costs.
You carry the risk
Exposure you can see, and narrow.
Failures are caught before they reach an auditor or a regulator, and you can see where the organisation stands at any moment.

The checks that actually catch things.

These are checks we have built or modelled. The same pattern extends to any document that has to meet a rule you can state.

Edited documents
The hand-edited final, re-checked
A final document adjusted by hand is where errors enter. Chaperone re-reads the edited version against the policy and flags what the change broke: an entry over a cap, a field moved past what the rule allows.
Regulatory limits
Returns checked against the limit
Upload a monthly return or bill and Chaperone checks the figure against the approved limit, a consent volume, a threshold, or a quota, and flags an overrun before it is filed.
Audit checklists
The checklist that pulls its own evidence
Point Chaperone at an audit checklist and it gathers the documents each line calls for, checks them, and flags anything missing or out of date, so the pack is ready before the auditor arrives.
Renewals and versions
Nothing lapses quietly
Licences, certificates, consents, and policies are tracked by renewal and version. Chaperone surfaces what is due, and what has changed, well before anything expires.

Cautious by design.

Compliance is a place for caution, so Chaperone is built to be checked, and your data is held the way the rules you answer to require.

The rules are explicit.
You see the rule each document is checked against, and you set what happens when a check fails. Nothing is judged in the dark.
A person holds the decision.
Chaperone proposes and your team confirms. It widens its own autonomy only as you watch it earn trust on the calls that matter.
Everything stays on the record.
Every document read, rule applied, and decision made is logged, ready to put in front of an auditor.
Your data stays yours.
Documents are processed transiently, encrypted in transit and at rest, and never used to train shared models. The terms sit in a DPA aligned with GDPR, UK GDPR, and DPDP, under an ISO 27001-aligned ISMS.
06 · Where it fits

We started where it is hardest.

Most compliance software begins with the documents that are easy to check. Chaperone was shaped against the opposite, regulated manufacturing, the version of the problem with the most rules and the most frequent audits. What holds there holds anywhere. The same system carries food, pharma, energy, and financial services, and for sustainability and ESG disclosure its sibling BRSR Close goes deeper still.

Start light. Widen as it earns it.

Compliance is no place to be reckless, so Chaperone starts where the risk is lowest and widens as your team watches it work.

The base
Every document tracked by renewal, expiry, and version, with reminders before anything lapses. Quick to stand up, and useful from day one.
The checks
Documents read and checked against their rules, with flags brought to a person to confirm. The layer that catches what manual review misses.
The autonomy
Chaperone runs the routine checks on its own, escalates only what needs judgement, and keeps the full trail. The point where audit-readiness becomes continuous.

Where you start, and how fast you widen, is something we size with you. Get in touch for the detail.

Worth asking.

How is this different from a document management system?

A document store keeps your files. Chaperone checks what is in them.

Document management tools store, version, and retrieve. Chaperone reads what the documents say, checks each against the rule it has to meet, and tells you where it fails. It sits on top of the store you already use rather than replacing it.

Does it replace our auditors or compliance team?

No. It does the checking so they can do the judgement.

Chaperone handles the repetitive reading and cross-checking that fills a compliance team's week, and brings the exceptions to a person. Your team makes the calls and signs off, with far less manual work to get there.

What can it check against?

Any rule you can state, from a regulation to your own policy.

Statutory rules, standards, licence conditions, internal policies, whatever a document has to meet. Where a rule is written down, Chaperone can be set to check against it. We work the rule set out with you.

Does it connect to where our documents already live?

Yes, through your existing document store.

Chaperone reads from the store you use, a shared drive or a document system, through its API. It verifies the documents rather than relocating them, so nothing moves and nothing is duplicated.

How does data work?

Your data stays in your environment, and is never used to train shared models.

Documents and checks are processed transiently, encrypted in transit and at rest. Your documents, rules, and records stay with you. The terms are set out in our DPA, aligned with GDPR, UK GDPR, and DPDP, and our own security runs to an ISO 27001-aligned ISMS.

What about ESG and BRSR reporting?

That has its own system, BRSR Close.

Sustainability and BRSR disclosure is specialised enough to deserve a dedicated tool, so it sits in BRSR Close rather than here. Chaperone covers the rest of your compliance, and the two share an architecture.

How quickly can it start?

The tracking base stands up fast. The checks follow.

The renewal and version base is quick to put live and useful immediately. The verification layer is scoped to your documents and rules, and widens as your team confirms its calls. We map the sequence on the walkthrough.
